What is QA Visual in Power BI?
One of the most powerful features in Power BI that’s often overlooked is the Q&A visual. Instead of dragging and dropping fields to build a chart, this tool lets you ask questions about your data in plain English and get a visual response instantly. This article will show you what the Q&A visual is, how to use it, and some best practices to get the most out of it.
What is the Power BI Q&A Visual?
The Power BI Q&A visual is an interactive, AI-powered tool that allows users to ask natural language questions about the data in their report. You simply type a question like, “what were the total sales last year by product category?” and Power BI interprets your request, queries the data, and presents the answer in the most appropriate chart format - a bar chart in this case.
Think of it as having a conversation with your data. Traditionally, if you wanted to explore a new angle or get an answer to a question that wasn't already visualized on a dashboard, you had a few options:
- Build a new chart from scratch by manually selecting fields and filters.
- Export the raw data to a spreadsheet and create a pivot table.
- Ask a data analyst on your team to build it for you.
The Q&A visual bypasses that entire process. It democratizes data exploration, empowering team members who may not be Power BI experts to get their own answers on the fly. It closes the gap between curiosity and insight, allowing for a much more fluid and intuitive analysis experience.
Under the hood, this works by using Natural Language Processing (NLP) to parse your question, identify key terms (like "sales," "last year," and "product category"), and relate them to the columns and tables in your data model. The quality of the results depends heavily on how well your data model is prepared - something we'll cover in the best practices section.
How to Use the Q&A Visual in Your Reports
Getting started with the Q&A visual is incredibly simple. You can use it as a temporary tool for quick analysis or convert your verbal queries into permanent visuals for your static reports.

Step 1: Add the Q&A Visual to Your Report Page
First, you need to add the Q&A element to your report canvas. Open your report in Power BI Desktop.
- In the Visualizations pane on the right-hand side, find the Q&A icon. It looks like a speech bubble with a question mark.
- Double-click the Q&A icon or drag it onto your report canvas.
You'll see a new object on your page with a search box that says, "Ask a question about your data." Power BI might also show some suggested questions to help you get started based on its initial analysis of your data model.
Step 2: Start Asking Questions
Now, just click inside the text box and start typing. As you type, Power BI will offer suggestions and autofill terms based on the tables and columns in your data. It will also try to render a visual in real-time as your question takes shape.
Let’s walk through a few examples, ranging from simple to more specific:
- Simple question: Type
total revenue. Power BI will likely return a single number displayed in a card visual. - Slightly more complex: Try
total revenue by country. Power BI will recognize "country" as a geographic field and automatically create a map visual. - Filtering by time: You can ask questions like
customer count in 2023. The visual will update to filter the data for that specific year. - Using comparisons: Ask
top 5 products by margin. Q&A knows how to interpret terms like "top," "bottom," "best," and "worst."
Step 3: Specify a Visual Type (Optional)
Power BI is pretty smart about choosing the best visual for your question, but you're not locked into its choice. You can explicitly tell it which chart type to use by adding it to the end of your question.
sales by month as a line chartwill generate a line chart.revenue share by store location as a pie chartwill create a pie chart.number of orders by customer as a tablewill simply display the raw data in a table format.
This gives you precise control over the output, blending the speed of natural language with the specific needs of your analysis.
Step 4: Convert Your Q&A to a Standard Visual
The Q&A Visual is fantastic for exploration, but what if you find a chart that you want to keep permanently in your report? The Q&A visual is dynamic - the visual it displays can change based on the question. To make it a permanent, static chart, you need to convert it.
Once you are happy with the visual generated by your question:
- Look for a small icon in the top-right corner of the Q&A visual. It looks like a chart with an arrow pointing out.
- Click this icon, "Turn this Q&A result into a standard visual."
The Q&A object will instantly transform into a standard visual (e.g., a formal Bar chart or Line chart object). You can now format it just like any other visual you created manually - you can change colors, add titles, adjust axis labels, and apply filters from the Visualizations pane. This makes the Q&A visual a powerful rapid-prototyping tool for report developers, dramatically speeding up the build process.
Best Practices for an Effective Q&A Experience
The magic of the Q&A visual depends entirely on the quality of the underlying data model. If your model is a mess, the Q&A engine will get confused and deliver poor results. Here are some critical tips to optimize your model for natural language questions.
1. Use Clean, User-Friendly Naming Conventions
The Q&A feature uses the names of your tables and columns to understand your questions. Give them simple, intuitive names that your users would actually use.
- Bad names:
tbl_FactSales,Cust_ID,SlsAmnt - Good names:
Sales,Customer ID,Sales Amount
When you use plain English, the AI stands a much better chance of mapping your question to the correct fields. If a user asks for "sales amount," the model can easily find it if the column is named properly.
2. Build Proper Relationships Between Tables
The true power of Q&A comes from its ability to answer questions across multiple tables (e.g., "Show sales amount from the Sales table by customer region from the Customer table"). This only works if you have correctly defined the relationships between your tables in Power BI's Model View.
Make sure your fact tables are properly linked to your dimension tables (e.g., Sales table linked to Products, Customers, and Calendar tables). Without these connections, the Q&A engine can't connect the dots.
3. Add Synonyms for More Flexibility
People use different words to describe the same thing. Power BI allows you to add synonyms for your field and table names to accommodate this. For example, your "Customers" table might be referred to as "Clients," "Accounts," or "Shoppers" by different teams.
To add synonyms:
- Click the gear icon on the Visualizations pane to enter the Q&A setup menu.
- From here, you can select any table or column in your model and add comma-separated synonyms.
- For the "Sales Amount" column, you could add synonyms like revenue, turnover, or income.
This small step makes the tool dramatically more powerful and user-friendly, as it starts to learn your company's lingo.

4. Teach and Train the Q&A Model
In the Q&A setup menu, you can also see what questions users are asking and identify terms that Power BI doesn't currently understand. For instance, if a user keeps asking about "churn" and Q&A doesn't recognize it, you can "teach" the model what it means. You can define the term and map it to a specific formula or metric (a DAX measure) that you’ve created.
Regular reviews of user questions help you continuously refine the model, making it smarter and more accurate over time.
5. Hide Unnecessary Fields
Your data model probably contains fields that are necessary for relationships but mean nothing to end-users, like primary keys (ProductID) or technical codes. These add clutter and can confuse the Q&A engine.
Right-click on these columns in the Data pane and select "Hide in report view." This will hide them from the Q&A feature (and the general report view), simplifying the model and improving accuracy.
Final Thoughts
The Power BI Q&A visual transforms dashboard interaction from a passive viewing experience to an active, exploratory conversation. It empowers anyone, regardless of technical skill, to get answers from their data just by asking questions in clear-spoken language, speeding up both analysis for business users and the report creation process for developers.
Supporting conversational analysis is very important to us, and we believe it’s the most natural way to explore data. We built an entire tool around this idea to make it even easier. By connecting all your sales and marketing sources to Graphed you can ask plain-language questions to instantly get live dashboard visuals or specific answers, helping you uncover insights across platforms like Google Analytics, Shopify, and Salesforce without touching a single filter or drop-down menu.
