Getting Started: Connect Your Instagram Account

Before you can schedule anything, you need to make sure your Instagram and Facebook accounts are properly connected within Meta Business Suite. This is a critical first step.

First and foremost, your Instagram account must be a Professional Account (either a Business or Creator account), not a Personal Account. If you still have a personal account, it's easy and free to switch.

To switch to a Professional Account:

  1. Go to your Instagram profile and tap the three lines in the top-right corner.
  2. Tap Settings and privacy.
  3. Scroll down to Account type and tools.
  4. Tap Switch to professional account and follow the on-screen prompts.

Once you have a professional account, you can link it to a Facebook Page in Meta Business Suite.

  1. Go to business.facebook.com. If you manage a Facebook business page, you should be automatically routed to your Business Suite dashboard.
  2. If your accounts aren't connected yet, you'll likely see a prompt to add your Instagram account.
  3. Alternatively, you can go to Settings (the gear icon at the bottom of the left-hand menu) > Business assets. Here, you'll see a list of your connected pages and accounts. Click Add assets and follow the prompts to connect your Instagram account.

Once connected, you're ready to start scheduling.

How to Schedule Instagram Feed Posts in Meta Business Suite

This is the bread and butter of content scheduling. Let’s walk through the exact steps for scheduling a standard photo or video post to your Instagram feed.

Step 1: Go to the Planner

In the left-hand menu of Meta Business Suite, click on Planner. This will open a calendar view where you can see all your scheduled and published posts for both Facebook and Instagram. This visual layout is fantastic for seeing your content plan at a glance.

Step 2: Create Your Post

In the top-right corner, you’ll see a blue Create post button. Click it. This opens the post-creation window where you'll build your content.

Step 5: Schedule the Post

Instead of clicking "Publish," look for the dropdown arrow next to it and select Schedule. This will bring up the scheduling options.

Here, you have two great choices:

  • Choose a specific date and time: If you know exactly when you want your content to go live, you can select the date and time from the calendar.
  • Use Active Times: This is an incredibly useful feature. Business Suite will analyze your follower activity and suggest up to three optimal times to post for maximum engagement. This takes the guesswork out of finding the best time to reach your audience.

Once you’ve selected your time, click Save.

Step 6: Final Review and Schedule

Finally, click the blue Schedule button at the bottom of the screen. That's it! Your post is now scheduled and will automatically be published at the time you selected. You'll see it appear in your Planner calendar.

How to Schedule Instagram Stories

Scheduling stories follows a similar process, but it's done from a slightly different starting point and has features unique to Stories.

Step 1: Go to the 'Create Story' Interface

From the Planner or the main Home page of Business Suite, find and click the Create story button.

Step 2: Add Your Media

Upload the photo or video you want to use for your Story. The recommended aspect ratio is 9:16 (the standard vertical phone screen size).

Step 3: Edit Your Story

The Story editor in Business Suite is surprisingly robust. On the right side of the screen, you’ll see a "Creative tools" panel with options to:

  • Add Text: Add text overlays with different fonts and colors.

How to Schedule Instagram Reels

Scheduling Reels is just as easy and is essential for anyone focusing on short-form video content.

  1. From the main post composer (via the Create post button), after selecting your placement, there’s an option to "Select media format." Change it from "Photo/video" to Reel.
  2. Upload your Reels video. This opens the Reels editor.
  3. Add Your Details: Write your caption with relevant hashtags.
  4. Edit Video and Audio: You can do some basic editing here. You can trim your video and, importantly, select an audio track from Meta's library. You can also turn a "Remix" or "Sequence" on or off and choose a thumbnail by selecting a frame from your video or uploading a custom cover image.
  5. Schedule: Click the "Schedule" option at the bottom and choose your desired date and time, just like you would for a feed post.

Managing Your Scheduled Content
