Why Use ChatGPT for Excel Anyway?

You might wonder why you'd use a language model to help with a spreadsheet program. The answer is speed, clarity, and learning. Instead of searching through confusing help forums or watching long video tutorials, you can get personalized guidance instantly.

  • It creates realistic sample data for you. Often, the biggest challenge is having data to work with. ChatGPT can generate perfectly formatted tables on any topic, allowing you to practice and build charts without needing your own dataset.
  • It provides tailored instructions. You can describe exactly what you want to do, and ChatGPT will give you a step-by-step guide specific to your goal, saving you from navigating Excel's complex menus on your own.
  • It's a great learning tool. If you don't understand a step, you can just ask! Follow-up questions like, "Why do I need to select the horizontal axis labels separately?" can help you learn the logic behind Excel's functions.

How to Make a Column Chart in Excel Using ChatGPT

Let's walk through the full process, from asking ChatGPT for data to building and customizing a professional-looking chart in Excel.

Step 1: Ask ChatGPT to Generate Your Sample Data

First, you need some data to visualize. The key is to write a clear, specific prompt. The more detail you give ChatGPT, the better and more useful the output will be.

Here’s a great prompt to start with. Just copy and paste it into ChatGPT:

Generate a simple table of monthly revenue data for a fictional online store called "Cozy Knits Co." for all 12 months of 2023. The table should have two columns: "Month" and "Revenue". Make sure the revenue numbers are plausible for a small business and show some seasonality, like higher sales in the fourth quarter.

Within seconds, ChatGPT will produce a neatly formatted table. It should look something like this:

If the data isn't quite right, you can easily ask for revisions. For instance, you could ask it to "add a third column for 'Marketing Spend'" or "regenerate the table in a format I can copy directly into Excel."

Step 2: Copy the Data from ChatGPT into Excel

Once you have your data, getting it into Excel is simple. Highlight the entire table in the ChatGPT window and copy it (Ctrl+C or Cmd+C). Then, open a blank Excel worksheet, click cell A1, and paste it (Ctrl+V or Cmd+V).

Your data should appear in the spreadsheet rows and columns. If it all pastes into a single column, don't worry. Select the column, go to the Data tab, and click Text to Columns. In the wizard, choose "Delimited," click "Next," and then select "Tab" and "Space" as delimiters (or "Pipe" | if that's what ChatGPT used). Click "Finish," and Excel will separate your data into the correct columns.

Let’s add headers to make our data easier to work with. In cell A1, type “Month”, and in B1, type “Revenue”. You can then remove the header rows ChatGPT created.

Step 3: Ask ChatGPT for Excel Charting Instructions

Now that your data is neatly organized in Excel, it's time to ask ChatGPT how to turn it into a column chart. Being specific here is also helpful.

Use a prompt like this:

I have data in an Excel sheet. Column A (A2:A13) contains the months, and Column B (B2:B13) contains the revenue. Give me step-by-step instructions for creating a column chart where the months are on the x-axis (horizontal) and the revenue is on the y-axis (vertical). Be clear and simple.

ChatGPT will generate a numbered or bulleted list of a step-by-step tutorial. The fun part is that you don't even need any initial knowledge of using a spreadsheet tool - this approach of combining natural language instructions can help anyone jump right into creating custom reports.

Step 4: Follow the Instructions to Build Your Chart

With instructions from ChatGPT as your guide, you can confidently create your chart in Excel. Here’s a detailed breakdown of the likely steps it will provide.

1. Select Your Data

First, highlight the data that you want included in the chart. In our example table, click and drag from cell A1 to B13 to select both the months and the revenue figures, including the headers. Including the headers tells Excel what to name the different parts of your chart automatically.

2. Insert the Column Chart

With your data selected, go to the Insert tab on Excel's top ribbon. In the Charts section, you will see a small icon that looks like a statistical plot with vertical bars. Click on it to open the column chart options.

3. Choose Your Chart Type

A dropdown menu will appear with several chart types such as 2-D, 3-D, horizontal or vertical bar graphs, and others. For this tutorial, select a simple two-dimensional (2-D) column chart. From experience, the 'Clustered Column' chart is almost always the best choice - this is the first chart listed under 2-D.

As soon as you select the 'Clustered Column' style, a chart will be generated and will pop up right in your worksheet. It will likely show 12 bars representing revenue, but with numbers like 1, 2, 3… on the horizontal line (x-axis) instead of the actual names of the months - don’t worry, this is an easy fix.

4. Set the Horizontal Axis Labels Correctly

If Excel didn't automatically use the "Month" column for the horizontal axis labels, the easiest way to fix it is to right-click on the chart and select "Select Data". Once the dialog box is open, look for a box on the left-hand column titled "Legend Entries (Series)", and you will want to click "Revenue", then hit Edit. Ensure the data listed are the rows in Sheet A where "Category (Horizontal) Axis Labels" should display the months. If these steps are confusing, it's a great prompt for ChatGPT, as using AI capabilities for data analysis here can save serious time.

You should now see the full year of revenue for the business by month, showing impressive seasonality, represented with your column charts in this Excel spreadsheet.

Making Your Column Chart Look Professional

A basic chart gets the job done, but a few small tweaks can make it look much more professional and easier to understand. The good news is these tweaks do not require any technical skills or advanced Excel capabilities.

  • Give It a Clear Title: Click on the "Chart Title" placeholder text at the top and give it a descriptive name like "2023 Monthly Revenue for Cozy Knits Co.". An effective title explains exactly what the viewer is looking at without requiring them to do their own analysis of the x and y axis, labels, etc.
  • Label Your Axes: Click your chart, and a plus sign (+) icon should appear on the upper-right corner. Click it, check the box for "Axis Titles", and now you can add titles like "Month" to the x-axis and "Revenue ($)" to the y-axis.
  • Add Data Labels: Using the (+) icon on your chart, check the "Data Labels" box, and this will put each column of data’s exact value on the screen, making it easier to read the exact revenue figure for each month without guessing.
  • Adjust Colors and Styles: With the chart selected, contextual tabs titled "Chart Design" and "Format" will appear at the top in the ribbon. Under "Chart Design," you can quickly change the entire plot’s feel and aesthetic design from a variety of pre-set Excel options.

Beyond the Basics: Other Ways to Use ChatGPT with Excel

Once you are comfortable with the basic charting capabilities Excel offers, you can use these techniques for far more than a simple column chart. ChatGPT’s simple conversational abilities make it accessible anywhere.

  • Generating Formulas: Struggling with a calculation? Describe what you need to do, and ChatGPT can help you write the formula. For example: "Write an Excel formula to find the average revenue in cells B2 through B13."
  • Explaining Errors: If you get an Excel error like "#N/A" or "#VALUE!", you can copy the formula giving you trouble and ask ChatGPT to describe it. It's often easier and faster to ask a chat system where the error is than trying to hunt on your own.
  • Suggesting Chart Types: Unsure of the best way to show a business update? A brief description will provide helpful data visualization options, such as donut charts to visualize your marketing spend by channel, or scatter plots to describe marketing and sales values.

Final Thoughts

Combining ChatGPT with Excel is a smart way for any busy team to level-up their reporting and data analysis capabilities without a dedicated data analyst. By generating data and providing clear, conversational instructions, teams can translate business reports into clean results without delving into the complexities themselves. For example, if you were running marketing for "Cozy Knits Co.," you'd know reinvesting your success now back into Q1 marketing spend is crucial.

While using AI with Excel is a leap forward, creating charts from various sources is still time-consuming. We began Graphed with one idea: obtaining performance insights and custom reports your company uses daily should not require extensive time and result in reporting headaches.
