How to Create a Work in Progress Report in Tableau with AI

Cody Schneider••7 min read

Trying to keep track of every task, deadline, and team member on a project can feel like an impossible juggling act. A Work in Progress (WIP) report cuts through the chaos, giving you a clear, visual snapshot of what's happening, who's working on what, and what's coming next. This guide will walk you through building a powerful WIP report in Tableau and show you how AI is making it easier than ever to get the insights you need.

What is a WIP Report (And Why Do You Need One)?

A Work in Progress report is a visual tool that tracks the status of all active tasks within a project or workflow. Instead of using a static spreadsheet that’s outdated the moment you save it, a WIP report in a tool like Tableau provides a live, interactive dashboard. It’s your project’s command center.

Why bother building one? Because it helps you:

  • Spot Bottlenecks: Instantly see where tasks are getting stuck. Is one column overflowing with cards? That’s your bottleneck.
  • Manage Workloads: Understand if work is distributed evenly across your team or if someone is drowning in tasks.
  • Improve Planning: Make more accurate forecasts for project completion by understanding how long tasks actually take.
  • Align Your Team: Give everyone a single source of truth for project status, which eliminates confusion and endless status update meetings.

Step 1: Get Your Project Data Ready

Before you can build anything in Tableau, you need organized data. Your WIP report lives or dies by the quality of the data source you feed it. Most likely, your project information is stored in a project management tool, a CRM, or a simple spreadsheet.

Your data source should have, at a minimum, these columns:

  • Task ID: A unique identifier for each task.
  • Task Name: A short description of the work.
  • Status: The current stage of the task (e.g., 'To Do', 'In Progress', 'In Review', 'Done').
  • Assignee: The person responsible for the task.
  • Start Date: The day work on the task began.
  • Due Date: The target completion date.

For this tutorial, let’s assume your data is in a Google Sheet or an Excel file. This is a common starting point for many teams who pull exports from tools like Asana, Jira, or Trello.

Pro-Tip: Keep your status columns clean and consistent. Avoid variations like "In-Progress" and "In Progress." Standardizing your data now will save you countless headaches later.

Step 2: Building Your Basic WIP Report in Tableau

With your data prepped, it's time to fire up Tableau and start building. We'll create a simple Kanban-style board to visualize your workflow.

Connecting to Your Data

  1. Open Tableau Desktop.
  2. Under Connect, choose the appropriate option for your data file (e.g., 'Google Sheets' or 'Microsoft Excel').
  3. Navigate to your file and select it. Tableau will display a preview of your data. Check to make sure all your columns look correct.

Creating the Kanban View

A Kanban board organizes tasks into columns based on their status. It's a fantastic way to visualize flow.

  1. Set up columns: Drag your Status field from the 'Data' pane onto the Columns shelf at the top of the workspace. You should see columns appear for each status you have (e.g., 'To Do', 'In Progress').
  2. Add the tasks: Drag your Task Name field onto the Rows shelf. You’ll now have a list of all tasks. To make them look like cards, change the visualization type in the 'Marks' card from 'Automatic' to 'Shape'. You can choose a filled square to make it look more card-like.
  3. Display assignee information: Drag the Assignee field onto the 'Color' box in the 'Marks' card. Tableau will automatically assign a different color to each team member, making it easy to see who is responsible for what at a glance. You can also drag Assignee onto the 'Text' or 'Label' box to show their names directly on each task card.

Just like that, you have a basic, functional WIP board. Now let’s make it more insightful.

Step 3: Supercharge Your Report with Key Metrics

A good report shows you what's happening, a great report tells you why it matters. We can add more context by creating calculated fields for important project metrics.

To create a calculated field, right-click on any field in the Data pane and select Create Calculated Field.

Calculate Task Age (Cycle Time)

Task Age, or cycle time, tells you how long a task has been 'in progress.' This is vital for spotting tasks that are stuck or taking longer than expected.

Create a calculated field named "Task Age" with this formula:

IF [Status] = 'In Progress' THEN DATEDIFF('day', [Start Date], TODAY()) END

This formula checks if a task's status is 'In Progress'. If it is, it calculates the number of days between its Start Date and today. Now you can drag Task Age onto the 'Tooltip' so when you hover over a task, you can see how long it's been active.

Visualize Your Team's Workload

It’s important to ensure no one on the team is overloaded. A simple bar chart can instantly clarify who has a full plate.

  1. Create a new worksheet in Tableau.
  2. Drag Assignee to the Columns shelf.
  3. Drag the Task Name field to the Rows shelf.
  4. Right-click the Task Name pill in the Rows shelf, navigate to Measure, and select Count (Distinct). This will count the number of unique tasks assigned to each person.
  5. Voila! You have a bar chart showing the active task count for each team member. Add this to your main dashboard for a complete overview.

The AI Advantage: Beyond Manual Dashboard Building

Building reports in tools like Tableau is incredibly powerful, but it involves a learning curve. You need to understand how to connect data, drag and drop fields, and write formulas like DATEDIFF. For years, this was just the reality of data analysis.

But AI is changing the workflow entirely.

The biggest shift is toward natural language interaction. Instead of clicking and dragging to build your charts, you can simply describe what you want to see. Think about the manual steps we just went through. With an AI-powered analytics tool, that process becomes a simple conversation:

  • Instead of writing a DATEDIFF formula, you could ask, "Show me how long each of our current tasks has been in progress."
  • Instead of building a bar chart from scratch, you could say, "Create a chart comparing the number of open tasks for each assignee."

This approach radically flattens the learning curve. You no longer need to be a data expert or a Tableau whiz to get answers from your project data. If you can ask a question, you can build a report. This frees up your team's time to focus on analyzing the insights and making decisions, rather than getting bogged down in the mechanics of report creation.

This "conversational" approach democratizes data, allowing anyone - from project managers to junior team members - to explore project trends and get the information they need to do their jobs more effectively.

Final Thoughts

Building a WIP report in Tableau gives your team a real-time, shared view of all moving parts, helping you manage workloads and identify blockers before they derail a project. By connecting your project data and using Tableau’s visual tools, you can transform a messy spreadsheet into a dynamic command center.

Frankly, we know there's a steep learning curve and a lot of manual work involved in setting up these dashboards. That’s precisely why we built Graphed. Our platform was designed to skip the long setup and let you get straight to the answers. You just connect your data sources - like Google Sheets, Jira, or Asana - and use plain English to ask what you want. A prompt like “create a WIP report showing all tasks in progress, colored by assignee” instantly generates a live, interactive dashboard for you, saving you hours of building and formula-writing.
