How to Create a Report in Excel with AI

Cody Schneider••7 min read

Building reports in Excel often feels like a tedious, manual chore. If you're tired of spending hours fighting with pivot tables and VLOOKUPs, using AI can feel like a superpower. This guide walks you through the different ways you can use AI to build reports, analyze data, and generate insights right within Excel.

Using Excel's Built-In AI: The "Analyze Data" Feature

You don't need to install anything to get started with AI in Excel. The "Analyze Data" feature (formerly "Ideas") is a powerful tool built directly into Microsoft 365. It automates data analysis by identifying patterns, trends, and outliers in your dataset and suggesting relevant charts and pivot tables.

How "Analyze Data" Works

This feature reads your selected data and proposes visualizations and summaries you might find useful. Even better, you can ask questions about your data using plain English, and it will generate an answer in the form of a chart or table you can add directly to your sheet.

Step-by-Step Guide to Using "Analyze Data":

Let's use a simple sales dataset as an example. Imagine you have a table with columns for Order Date, Product Category, Region, and Sales Amount.

  1. Organize Your Data: First, make sure your data is structured in a clean tabular format. Each column should have a clear header, and there should be no empty rows or columns within your dataset. Messy data confuses the AI.
  2. Select Your Data: Click any cell within your data range. Excel is pretty good at automatically detecting the full table, but you can also select the entire range manually (Ctrl+A).
  3. Launch Analyze Data: On the Home tab of the ribbon, click the Analyze Data button on the far right.

A new pane will open on the right side of your screen, filled with charts and insights based on Excel's automatic analysis of your data. This might include a bar chart showing sales by region or a line chart plotting sales over time.

Asking Your Own Questions

The real power comes from the search box at the top of the "Analyze Data" pane. You can type questions just like you would ask a human analyst.

Using our sales data example, you could ask:

  • "What are the total sales by product category?"
  • "Show me sales for the North region trended over time"
  • "Which product category had the highest sales in Q4?"

For each question, "Analyze Data" will immediately create a corresponding pivot chart or table. If you like what it created, just click the "Insert PivotChart" button to add it directly to a new worksheet. It's a quick and powerful way to handle common reporting requests without building everything from scratch.

Leveraging ChatGPT for More Advanced Excel Tasks

While "Analyze Data" is fantastic for quick insights, Large Language Models (LLMs) like ChatGPT can help with more complex and creative tasks that go beyond simple analysis. You can use it as a brainstorming partner to write formulas, debug code, and model complex scenarios.

How to Use ChatGPT with Excel Data

The basic workflow involves providing ChatGPT with your data and a clear prompt explaining what you need. However, there are some important considerations, especially regarding data privacy.

WARNING: Prioritize Data Security

Never upload sensitive or personally identifiable information (PII) to public versions of LLMs. Before giving ChatGPT your data, anonymize it by removing names, email addresses, specific financial details, or anything you wouldn't want publicly exposed. For data analysis, ChatGPT only needs the structure and values, not the sensitive details.

Common Uses for ChatGPT in Excel Reporting:

1. Generating Complex Formulas

Struggling to nest multiple IF statements or figure out the right combination for INDEX(MATCH())? Just describe what you're trying to do.

Example Prompt: "I have a table with 'Sales Amount' in column C and 'Sales Rep' in column D. Write me an Excel formula that calculates the total sales for the rep named 'Jane Doe' starting from cell D2 to D100."

ChatGPT would quickly return the correct formula:

=SUMIF(D2:D100, "Jane Doe", C2:C100)

2. Building VBA Macros

VBA (Visual Basic for Applications) allows you to automate repetitive tasks in Excel, but writing it can be intimidating. ChatGPT can act as your personal programmer.

Example Prompt: "Write a VBA macro for Excel that loops through every worksheet in the active workbook and automatically adjusts the width of all columns to fit the content."

3. Analyzing Pasted Data

For small datasets, you can copy data directly from Excel and paste it into ChatGPT. After pasting the data, tell the AI exactly what you want it to do.

Example Prompt: "Here is some marketing campaign data. [Paste your data here]. Tell me which campaign had the highest ROI. Calculate ROI as ((Revenue - Spend) / Spend)."

ChatGPT is great at this kind of quick, contextual analysis. However, it often produces a static image of a chart rather than an editable object, so it's best for one-off analyses, not building interactive reports.

4. Analyzing Uploaded CSV Files

With a ChatGPT Plus subscription, you can upload files directly. You can export a worksheet as a CSV file and ask ChatGPT to analyze it. The main challenge here is that the AI has no context for what the fields mean, so it's guessing based on the headers. Accuracy can be hit or miss, especially with datasets that require deeper business knowledge.

The Hidden Catch: AI Doesn't Solve the Data Prep Problem

Both Excel's "Analyze Data" and ChatGPT are impressive steps forward, but they only really help with the last mile of reporting. They analyze the data that's already clean and organized inside your spreadsheet. They don't help with the exhausting, time-consuming first 90% of the work: getting that data in the first place.

The typical reporting process for many marketers and sales teams looks something like this:

  • Manual Data Export: On Monday morning, you log into a half-dozen different platforms: Google Analytics, Facebook Ads, Salesforce, HubSpot, Shopify, etc.
  • CSV Wrangling: You pull multiple CSV reports, each with different formats, column names, and data structures.
  • Manual Consolidation: You spend hours cleaning, formatting, and copy-pasting everything into one giant "master" Excel spreadsheet, hoping you didn't accidentally mix up a date field or copy a formula incorrectly.
  • Finally, Analysis: Only after all that manual drudgery can you start using cool tools like "Analyze Data" or ChatGPT to find insights.

By the time you finish the report on Tuesday, the data is already out of date. And when your boss asks a follow-up question, the process starts all over again. In this scenario, AI is just a slightly faster way to build a static picture of yesterday's numbers.

Final Thoughts

In summary, using AI in Excel can definitely speed up your workflow. The "Analyze Data" feature is perfect for quick, on-the-fly analysis of data you have in a single sheet, while ChatGPT is an excellent assistant for writing formulas, generating code, and brainstorming insights from anonymized datasets. They make the final step of creating a chart or pivot table easier, but you're still left with the heavy lifting of gathering and preparing your data.

We built Graphed because we were tired of this exact data wrangling fire drill. The most time-consuming part of reporting isn't making the chart - it's getting all your data into one place. Graphed connects directly to your data sources like Google Analytics, Shopify, Salesforce, and social ad platforms. All your data stays live and synced automatically, so there are no more CSV downloads. From there, you just use simple, natural language to ask questions or build real-time, shareable dashboards. Instead of just helping you with the last step, we automate the entire manual reporting process from start to finish.
