First Things First: Prepare Your Google Sheet for Success

Before you even open ChatGPT, the most critical step is getting your data in order. AI can’t make sense of a messy worksheet any better than you can. A little setup upfront saves a ton of headaches later.

Step 1: Get Your Raw Data In One Place

Your goal is to have a dedicated "Raw Data" tab. This could be data you've manually exported from platforms like Shopify, Google Analytics, or Facebook Ads. The key is to have it all in one clean list. Manually copy-pasting is an option, or you can use a native connector or a tool like Zapier to pipe it in automatically.

Your data should be in a simple, tabular format:

  • First row is for headers: Make them clear and simple (e.g., 'Date', 'Campaign Name', 'Spend', 'Impressions', 'Clicks', 'Conversions'). Avoid merged cells or complicated layouts.
  • One row per record: Each subsequent row should represent a single record (e.g., one day's performance for a specific campaign).
  • Consistent data types: Make sure your 'Date' column only contains dates, and your 'Spend' column only contains numbers. Inconsistent formats can break formulas down the line.

Step 2: Create a Separate ‘Report’ Tab

Never build your report on the same tab as your raw data. Create a new, blank tab and name it something like "Monthly Report" or "Summary." This is where you will build your tables and charts. This separation keeps your original data clean and organized, making it easier for you and for ChatGPT to reference.

Your workbook should now have at least two tabs: 'Raw Data' and 'Monthly Report'.

Using ChatGPT to Generate Google Sheets Formulas

This is where the magic happens. Instead of trying to remember the complex syntax for 'QUERY', 'SUMIFS', or 'VLOOKUP', you can just describe what you want in plain English and let ChatGPT do the heavy lifting.

How to Write an Effective Prompt for Formulas

The quality of ChatGPT's output depends entirely on the quality of your prompt. You need to be specific and provide plenty of context.

A bad prompt looks like this: "Give me a formula for our total ad spend and conversions." This is too vague. ChatGPT doesn't know where your data is, what your columns are called, or how you want the data broken down.

A good prompt provides specific details:

"I am working in Google Sheets. I have a tab named 'Raw Data' with campaign performance data in columns A through F. My headers are in row 1 and are as follows: In my 'Monthly Report' tab, I want a formula for cell B2 that sums up the total 'Spend' from all campaigns in the 'Raw Data' tab where the campaign name contains the word 'Facebook'. Can you give me the formula?"

See the difference? You provided:

  • The tool (Google Sheets)
  • The tab names ('Raw Data', 'Monthly Report')
  • The exact location and names of your columns
  • A clear, specific objective

Example: Building a Campaign Performance Table

Let's say in your 'Monthly Report' tab, you want to build a summary table that shows Spend, Clicks, and Cost-Per-Click (CPC) for each of your main marketing channels ('Facebook', 'Google', 'TikTok').

Your Prompt to ChatGPT:

"I have a Google Sheet with a tab named 'Raw Data'. Data is in columns A:G. Headers are: A: Date B: Channel C: Spend D: Clicks E: Conversions On a different tab named 'Report', I have a summary table. In cell A2 is the channel name 'Facebook Ads'. In cell B2, I need a formula that sums the 'Spend' (Column C from 'Raw Data') for all rows where the 'Channel' (Column B from 'Raw Data') equals the text 'Facebook Ads' in cell A2. In cell C2, I need a formula to sum the 'Clicks' for 'Facebook Ads'. In cell D2, I need a formula to calculate the Cost-Per-Click (CPC) by dividing the total spend in B2 by the total clicks in C2."

ChatGPT would likely return formulas like this:

For Total Spend (Cell B2): =SUMIF('Raw Data'!B:B, A2, 'Raw Data'!C:C)

For Total Clicks (Cell C2): =SUMIF('Raw Data'!B:B, A2, 'Raw Data'!D:D)

For CPC (Cell D2): =IFERROR(B2/C2, 0)

Now all you have to do is copy and paste these formulas into the correct cells. You can then drag the formula handle down for your other channels ('Google', etc.), and it will automatically adjust. You've just built a dynamic report table in minutes without writing a single formula from scratch.

Going Deeper: Automating Tasks with Google Apps Script

If you find yourself doing the same formatting, copying, or data-cleaning tasks every month, you can automate them using Google Apps Script. Don't worry, you don’t need to be a developer. ChatGPT can write the code for you.

What is Google Apps Script?

Think of it as macros for your G-Suite. It's a scripting language based on JavaScript that can automate workflows within and between Google applications. You can access it in Google Sheets by going to Extensions > Apps Script.

Let's say every month, once your report is ready, you want to archive the current month's raw data to a new sheet to keep things tidy. You could write a script to do this automatically.

Your Apps Script Prompt to ChatGPT:

"Write a Google Apps Script function that duplicates my active sheet. The function should then rename the new duplicated sheet to include the current month and year, for example, 'Data Archive - May 2024'. After that, it should clear all the content from the original sheet, leaving only the header row (row 1)."

ChatGPT could generate a script like this:

function archiveMonthlyData() {
  var spreadsheet = SpreadsheetApp.getActiveSpreadsheet(),
      originalSheet = spreadsheet.getActiveSheet(),

  // Format the current date as "Month YYYY"
  var currentMonth = Utilities.formatDate(new Date(), Session.getScriptTimeZone(), "MMMM yyyy"),
  var newSheetName = "Data Archive - " + currentMonth,

  // Duplicate the sheet and rename it
  var newSheet = originalSheet.copyTo(spreadsheet),
  newSheet.setName(newSheetName),

  // Clear the original sheet's data (except for the header row)
  var range = originalSheet.getRange(2, 1, originalSheet.getLastRow() - 1, originalSheet.getLastColumn()),
  range.clearContent(),
}

You would paste this code into the Apps Script editor, save it, and then run the archiveMonthlyData function anytime you want to archive your work. This is a simple example, but you can see how this can save significant amounts of time on repetitive manual tasks.

Visualizing Your Data and Finalizing the Report

Once your numbers are crunched, you need to turn them into easy-to-understand charts and summaries.

Let ChatGPT Be Your Charting Advisor

While ChatGPT cannot directly create a chart within your Google Sheet, it can be an excellent consultant. It can recommend the best chart type for your data and give you step-by-step instructions on how to create it.

You could ask:

"I have a table in Google Sheets showing my top 5 marketing channels and their corresponding 'Conversion Rate'. What is the best chart type to visualize this comparison, and how do I create it in Google Sheets?"

It will likely suggest a bar chart or a pie chart and then outline the exact steps: highlight your data, go to Insert > Chart, and then select the recommended chart type from the editor.

A Note on Verification and Privacy

  • Always double-check the work. ChatGPT can make mistakes. Before you share your report, do a quick spot-check on a few numbers to confirm the formulas are working as intended. Think of it as an assistant you have to train and verify, not an infallible expert.
  • Do not paste sensitive information. Never paste sensitive customer, financial, or personally identifiable information into ChatGPT. When writing prompts, use generic headers and sample data, not your entire proprietary dataset.

Final Thoughts

Using ChatGPT in concert with Google Sheets transforms dreaded end-of-month reporting from a long, manual chore into a quick, streamlined process. By getting your data organized upfront and then providing clear, contextual prompts, you can generate complicated formulas and even automation scripts in a fraction of the time, allowing you to focus on the insights, not the inputting.

Although ChatGPT makes it easier to work with data once it’s in a spreadsheet, we realized the biggest bottleneck was still manually pulling data from a dozen different marketing and sales platforms to even get started. That's why we built Graphed. It seamlessly connects to tools like Google Analytics, Shopify, Facebook Ads, and Salesforce to automate the entire data collection and reporting process. Instead of wrangling with CSV files or building formulas, you can just ask a question in plain language - like "create a report showing my marketing funnel performance last month" - and get a real-time, shareable dashboard in seconds.
