How to Create a Funnel Chart in Excel with ChatGPT

Cody Schneider••7 min read

Creating a funnel chart in Excel can feel surprisingly clunky, especially since there isn't a dedicated "Funnel Chart" option like there is for bar or pie charts. But they are incredibly useful for visualizing how customers move through a purchase process or how leads convert into sales. This tutorial will walk you through a simple, clever workaround to build a funnel chart in Excel and show you how to use ChatGPT to make the entire process faster and more intuitive.

What Exactly is a Funnel Chart?

A funnel chart shows the progressive reduction of data as it passes from one phase to another. It gets its name because the shape typically resembles a funnel - wide at the top and narrow at the bottom. Each stage of the funnel represents a step in a process, and the size of the bar or section illustrates the quantity or percentage of the total at that stage.

They are perfect for answering questions like:

  • "Where are our customers dropping off in the checkout process?"
  • "How many website visitors convert into qualified leads?"
  • "What percentage of applicants make it to the final interview stage?"

Common examples include:

  • Sales Funnel: Prospects > Qualified Leads > Proposals Sent > Deals Won
  • Marketing Funnel: Website Visitors > Sign-ups > Active Users > Paying Customers
  • E-commerce Funnel: Product Views > Add to Cart > Start Checkout > Purchase Completed

By visualizing these steps, you can instantly spot bottlenecks and identify where your process needs improvement.

Setting Up Your Funnel Chart Data in Excel

The secret to building a funnel chart in Excel is using a horizontal Stacked Bar Chart and a bit of clever data arrangement. We're going to create a chart with two data series for each stage of the funnel. One series will be the actual value you want to display, and the other will be an invisible "spacer" that pushes your visible bar to the center, creating the classic funnel look.

Here’s how to structure your table. You’ll need three columns:

  1. Stage: The name of each step in your funnel.
  2. Value: The number of people or items at each stage.
  3. Spacer: A calculated column that creates the centering effect.

Let's use a simple marketing funnel as an example:

  • Column A (Stage): Website Visitors, Product Page Views, Added to Cart, Purchased
  • Column B (Value): 5000, 2500, 500, 100

Now for the most important part: the "Spacer" column. This column calculates how much empty space is needed on the left side of each bar to keep it centered. The formula looks at the largest value in your funnel (the top of the funnel) and subtracts the current stage's value, then divides the result by two.

For our example data in cell C2, the formula would be:

=(MAX($B$2:$B$5)-B2)/2

The "Spacer" values automatically adjust. For "Website Visitors," the spacer is zero because it's the largest value. For "Purchased," the spacer is large (2450) because the value bar (100) is very small relative to the top of the funnel.

Speeding Up Data Setup with ChatGPT

Instead of manually writing formulas, you can have ChatGPT do the heavy lifting for you. This is especially useful if you find Excel formulas a little intimidating or just want to move faster. You can simply provide your data and ask ChatGPT to structure it correctly for a funnel chart.

Here’s a prompt you can use:

I need to create a funnel chart in Microsoft Excel. I have the following data for my e-commerce checkout funnel: Please create a three-column table I can copy into Excel. The columns should be labeled 'Stage', 'Value', and 'Spacer.' The Spacer column needs to contain the formula required to center the bars in a stacked bar chart. The formula for the spacer is (MaxValue - CurrentValue) / 2.

ChatGPT will generate a clean, copy-and-paste-ready table with the correct formula already applied, saving you time and preventing any frustrating formula errors.

How to Build the Funnel Chart: Step-by-Step

Once your data is ready, creating the chart itself only takes a few steps. Follow along with the data from the example above.

Step 1: Insert a Stacked Bar Chart

Select your entire data range, including the headers (A1:C5 in our example). Navigate to the Insert tab, click on Charts, and select a 2D Stacked Bar Chart.

Right now, it doesn't look like a funnel. You'll see three colors for each stage: a blue one for the Spacer, an orange one for the Value, and a grey one which Excel often mistakenly includes (representing the stage names).

Step 2: Make the "Spacer" Block Invisible

Click on any of the blue "Spacer" bars to select the entire series. The Format Data Series pane should appear on the right. If it doesn't, right-click on the blue bars and select Format Data Series. Under the Fill & Line tab (the paint bucket icon), choose No fill.

Just like that, the value bars are now centered!

Step 3: Reverse the Order of the Stages

You’ll notice your funnel is upside down, with the smallest stage at the top. To fix this, right-click on the vertical axis (where the stage names are listed) and select Format Axis. In the Axis Options menu, check the box that says Categories in reverse order.

Your chart will immediately flip to the correct, top-down funnel orientation.

Step 4: Clean Up and Style Your Chart

The hard part is done. The final step is to clean up the chart so it’s easy to read.

  • Add Data Labels: Right-click on your visible data bars (the orange ones) and select Add Data Labels. The values will appear on each bar, making them easy to read.
  • Remove the Legend: Since the "Spacer" series is invisible, you don't need a legend. Click on the legend box and press the Delete key.
  • Remove the Horizontal Axis: The numbers along the top of the chart are redundant now that you have data labels. Click on the horizontal axis and press Delete.
  • Adjust the Bar Gap: To make the bars look more connected like a real funnel, right-click on them, select Format Data Series, and in the Series Options, reduce the Gap Width to a smaller number like 10% or 20%.
  • Give it a Title: Double-click the chart title to add a descriptive name, like "Q2 Marketing Funnel Performance."

After these adjustments, you’ll have a clean, professional-looking funnel chart ready for your report or presentation.

What If You Get Stuck? Ask ChatGPT for Help

The beauty of using ChatGPT as a partner in this process is that it can also act as a troubleshooter. If something goes wrong, you don’t have to search through forum posts or YouTube videos. You can just ask for clarification.

Try prompts like:

  • "My funnel chart in Excel is upside down. How do I reorder the funnel stages so the widest part is at the top?"
  • "I still see two colored bars in my stacked bar chart. How do I hide the first one to make my funnel chart appear centered?"
  • "Explain why the 'Spacer' formula uses MAX() and divides by 2. I want to understand how it works."

ChatGPT can provide tailored, step-by-step instructions to fix common issues or deepen your understanding of the technique. It's like having an on-demand Excel expert right by your side.

Final Thoughts

Funnel charts are fantastic visual tools for understanding conversion, and with the stacked bar chart method, they're surprisingly easy to create in Excel. By leveraging ChatGPT to generate the data structure and troubleshoot formatting, you can turn a potentially tedious task into a quick and simple process, giving you more time to analyze the insights the chart reveals.

While mastering Excel is incredibly useful, the process of setting up data tables and reformatting charts week after week is exactly the kind of manual work we wanted to automate. At Graphed, we connect directly to your marketing and sales data sources, so you don't have to deal with exports or formula building at all. You can just ask, "Show me a funnel chart of our Shopify sales from landing page view to purchase last month," and get a live, interactive visualization instantly. We built it to automate the setup so you can get straight to the insights.
