Calculating your burn rate tells you a powerful story about the health of your business. It's the ultimate measure of your financial endurance and the key to knowing exactly how long your company can survive on its current cash. This guide will show you how to set up a simple but effective burn rate calculator in Google Sheets and how to use ChatGPT as a helpful assistant to handle the formulas and analysis for you.

What Exactly is Burn Rate (and Why Does it Matter)?

Burn rate is the speed at which your company is spending money, specifically the cash you have in the bank. For startups and growing businesses, it's one of the most critical metrics you can track. Understanding your burn rate helps you make smarter decisions about hiring, spending, and fundraising.

Imagine you're driving a car on a long road trip. Your cash balance is the fuel in your tank, and your burn rate is how quickly the needle is dropping. Knowing this tells you exactly how much farther you can go before you need to find a gas station (i.e., generate more revenue or secure funding).

Gross Burn Rate vs. Net Burn Rate

There are two types of burn rates to understand, and the difference is important.

  • Gross Burn Rate: This is the total amount of cash your company spends in a month on operating expenses. It includes everything from salaries and rent to software subscriptions and marketing costs. It gives you a clear picture of your total monthly overhead.
  • Net Burn Rate: This is the number that really counts. It’s your gross burn rate minus the revenue you're generating that month. Net burn shows you the actual amount of money you are losing each month after all your income is accounted for. If your revenue is higher than your expenses, you have a negative net burn, which is a great position to be in – you're profitable!

While both are useful, net burn rate is the metric you'll use to calculate your company's cash runway - the number of months you have until your cash runs out.

Setting Up Your Burn Rate Calculator in Google Sheets

You don't need complicated accounting software to get started. A simple Google Sheet is the perfect tool for tracking your burn rate manually. Let's build one from scratch.

Learn how to deploy AI marketing agents across your go-to-market — the best tools, prompts, and workflows to turn your data into autonomous execution without writing code.

Step 1: Gather Your Data

Before you build the sheet, you need two key pieces of information for each month:

  1. Total Monthly Revenue: All the cash that came into the business.
  2. Total Monthly Expenses: All the cash that went out. This includes payroll, rent, software, utilities, marketing spend – everything.

Having your bank statements or accounting software (like QuickBooks or Xero) handy will make this easy.

Step 2: Create Your Spreadsheet Structure

Open a new Google Sheet and create the following columns:

  • Column A: Month
  • Column B: Starting Cash Balance
  • Column C: Monthly Revenue
  • Column D: Monthly Expenses (Your Gross Burn)
  • Column E: Net Burn
  • Column F: Ending Cash Balance

Step 3: Add Your Formulas

Now, let’s make the spreadsheet do the work for us. You only need to manually enter your Revenue (Column C) and Expenses (Column D) each month.

Start by entering your beginning cash balance in cell B2. For example, if you start January with $100,000, type 100000 into B2.

For Net Burn (Column E): In cell E2, enter the formula to subtract your monthly revenue from your monthly expenses. This shows you how much you "lost" that month.

=D2-C2

For Ending Cash Balance (Column F): In cell F2, write a formula that takes your starting cash and subtracts the net burn.

=B2-E2

To Automate the Rest: Your ending balance for one month is the starting balance for the next. In cell B3, make it equal to last month's ending balance:

=F2

Now, just click on the small blue square in the corner of cells B3, E2, and F2 and drag them down to automatically apply the formulas to the rest of the rows. Your sheet is now set up to automatically calculate your cash position as you add new data each month!

Using ChatGPT as Your Spreadsheet Assistant

If formulas aren't your strong suit or you want to dig deeper into your data, ChatGPT can be an incredibly helpful partner. Here’s how you can use it to build, analyze, and visualize your burn rate.

1. Writing Formulas for You

Feeling unsure about the formulas? Just describe what you want to do in plain English and ask ChatGPT to write them for you.

Example Prompt: "I am building a burn rate calculator in Google Sheets. I have a column for 'Monthly Expenses' (D) and 'Monthly Revenue' (C). Write the formula for a 'Net Burn' column (E) that calculates the difference."

ChatGPT will give you the exact formula (=D2-C2) along with an explanation of how it works. This removes the guesswork and helps you learn what the formulas mean.

2. Calculating Your Cash Runway

Once you have a few months of data, you can calculate your cash runway. The formula is: Total Remaining Cash / Average Monthly Net Burn.

Let's say your average net burn over the last three months is $20,000, and you have $150,000 in the bank.

Example Prompt for ChatGPT: "My current cash balance is $150,000. My Google Sheet shows my average Net Burn over the last 3 months is $20,000. What is my cash runway in months, and can you give me a Google Sheets formula to calculate this automatically?"

ChatGPT will tell you that your runway is 7.5 months (=F2/AVERAGE(E2:E4)) to calculate it live in your sheet (assuming F2 is your current cash and E2:E4 holds your last three months of net burn).

3. Asking for Charting Instructions

Visualizing your burn rate makes it much easier to spot trends. While ChatGPT can't create a chart directly in your sheet, it can give you precise, step-by-step instructions.

Example Prompt: "I have a Google Sheet with 'Month' in Column A and 'Net Burn' in Column E. I want to create a bar chart to see my net burn for each month. What are the exact steps I need to follow in Google Sheets to make this chart?"

ChatGPT will guide you through the process: highlight the columns, go to Insert > Chart, and choose the right chart type from the Chart editor panel. It’s like having a patient tutor walking you through the menu options.

4. Analyzing Trends in Your Data

This is where ChatGPT becomes a true analyst. You can provide it with your burn rate data (never share sensitive financial details) and ask for insights.

Example Prompt: "Here is my company's net burn rate for the past 6 months: January: $25,000 February: $26,000 March: $22,000 April: $24,000 May: $35,000 June: $38,000

What trends do you notice? What are some potential reasons for the sharp increase in May and June?"

ChatGPT can point out that your burn was relatively stable before suddenly increasing. It can then help you brainstorm potential causes, prompting you to ask questions like:

  • Did we hire new employees in May?
  • Did we start a new, expensive marketing campaign?
  • Did we buy any new equipment or sign a new software contract?

This analytical back-and-forth can uncover insights you might have otherwise missed.

Final Thoughts

Tracking your burn rate regularly is a foundational business practice that empowers you to make proactive, informed decisions instead of reactive, panicked ones. With tools as accessible as Google Sheets and helpful AI assistants like ChatGPT, anyone can get a clear financial picture without needing a degree in finance.

Manually entering data into a Google Sheet is a great starting point, but we know it can become a routine chore, especially as data streams in from different places like Shopify, Stripe, and your ad platforms. With Graphed, we automate the hard part by connecting directly to your data sources. You can simply ask, "Show me a dashboard of my monthly net burn" or "What's my cash runway based on last quarter's spending?", and get a real-time, auto-updating dashboard in seconds. This turns hours of spreadsheet work into a simple conversation about what really matters in your business.
