  • Step 1: Open your Tableau Desktop application.
  • Step 2: You'll see an "Activate Tableau" window. You'll have options like "Start a trial now" or "Activate with a product key." Click Activate with a product key.
  • Step 3: A new text field will appear. Carefully paste your product key (the one starting with TC or TD) into this field. It's always best to copy-paste to prevent errors.
  • Step 4: Click the "Activate" button. Tableau will take a moment to connect to its licensing servers to verify the key. If successful, the window will close, and you'll be taken to the main Tableau data source connection screen. That's it, you're all set!

Managing Keys in an Existing Installation

Perhaps your trial has expired, or you need to switch to a new license key provided by your company. You can easily manage your keys without reinstalling the software.

  • Step 1: With Tableau Desktop open, navigate to the top menu bar.
  • Step 2: Click on "Help" and then select "Manage Product Keys..." from the dropdown menu.
  • Step 3: A dialog box will pop up, showing you all the licenses currently active on your machine, along with their expiration dates.
  • Step 4: To add a new license, click the "Activate..." button. You'll be presented with the same text field where you can paste your new product key. Click Activate to add it. You can have multiple keys active at once, and Tableau will simply use the one that offers the longest term or highest level of access.

How to Activate Tableau Prep Builder

Tableau Prep Builder often comes bundled with Tableau Desktop as part of the "Tableau Creator" license subscription. If your product key starts with "TC," it's a Creator key that works for both products.

The good news? The process is identical to activating Tableau Desktop.

Simply open your Tableau Prep Builder application, and if it's the first time, use the activation window. If you need to manage a key later, you'll find the option in the same place: go to the Help > Manage Product Keys... menu. Activating your Creator license in either application will typically activate it for both.

Entering a Key for Tableau Server and Tableau Cloud

If you're an administrator responsible for a team, you'll be managing licenses for Tableau Server or Tableau Cloud, and the process is quite different from the desktop experience.

For Tableau Server (On-Premises)

Tableau Server licenses aren't activated within the software's user interface. Instead, this is a task performed in the Tableau Services Manager (TSM), which is the server administration tool.

  • Step 1: Access the TSM web user interface by navigating to https://<your-server-name>:8850 in your browser. You'll need administrator credentials to log in.
  • Step 2: Once logged in, click on the Configuration tab.
  • Step 3: On the left side, navigate to the Licensing page.
  • Step 4: Here, you'll see a list of active licenses. Click the Activate License button. Enter your new Tableau Server product key (starting with TS) in the field provided and click Activate.

For more technical users, this can also be done via the command line interface:

tsm licenses activate -k <product key>

A Quick Note on Tableau Cloud

This is an important distinction: if you are using Tableau Cloud (formerly Tableau Online), you as an end-user do not enter a product key. Tableau Cloud's licensing is managed entirely by your site administrator.

The admin assigns roles (Creator, Explorer, Viewer) to a user's email address directly within the Tableau Cloud user settings. The entitlement is tied to the user account, so all a user needs to do is log in. If you think you should have access, you need to talk to your team's Tableau administrator, not look for a place to put a license key.

Common Problems When Activating Your Tableau License

Sometimes, activation doesn't go as smoothly as planned. Don't worry, these issues are usually easy to fix.

  • "Invalid product key." This is the most common error. The first step is to double-check that you copied the key correctly and haven't introduced any typos. Also, make sure you're using the right key for the right product (e.g., a Desktop key for Desktop, not Server).
  • "License has been used on too many computers." Standard Tableau keys can be activated on up to two machines (e.g., a primary desktop and a laptop). If you get this error, you need to deactivate the license on one of your old machines. You can do this from the Help > Manage Product Keys... menu by selecting the key and clicking "Deactivate." If you no longer have access to the old computer, you'll need to reach out to Tableau Support for help.
  • Firewall or Internet Connection Issues. Tableau needs to connect to the internet to verify your key. If your company has a strict firewall, it might block this connection. In this case, Tableau does offer an offline activation option. The process is more involved and requires generating an offline activation file to use on a computer that does have internet access.
