Before jumping into the how-to, it's critical to understand why simply asking for your client’s personal Facebook username and password is a terrible idea. This approach is common among beginners, but it's loaded with risks for both you and your client.

Here’s why you should never use your client’s login details:

  • It's a huge security risk. You would have access to not just their ad account, but their personal profile, private messages, and friends list. This is a massive breach of privacy.
  • It violates Facebook's Terms of Service. Sharing login credentials is a big no-no. Facebook's security systems can detect logins from different devices and locations, potentially flagging the account and locking both of you out.
  • Payment information gets messy. The client's personal payment methods might be linked to their account. If you add your agency's card, it becomes an accounting nightmare to separate ad spend from personal purchases.
  • Scaling is impossible. Imagine juggling passwords and logins for five, ten, or twenty clients. It's inefficient, confusing, and completely unscalable.
  • Offboarding becomes a problem. When your contract ends, surgically removing your access and payment details without causing issues is complicated. Asking them to change their personal password feels unprofessional.

The correct, professional method avoids all of these issues. You’ll use the tool Facebook designed specifically for agencies and businesses: Meta Business Manager (often called Facebook Business Suite).

Facebook Business Manager: Your Command Center for Client Ads

Think of Meta Business Manager as a central dashboard that securely holds all of a business's valuable assets. This includes its Facebook Page, Instagram account, Ad Account, and tracking Pixels. It’s separate from anyone’s personal profile, so business activities stay entirely separate from personal life.

Using Business Manager is the industry standard because:

  • The Client Maintains Ownership: Your client always owns their Ad Account, Page, and data. You are simply granted permission to work on their behalf, much like giving a key to your house cleaner but not the deed to your house.
  • You Get Granular Control: You can request different levels of access. For example, you might get full "manage" access to their Ad Account but only "content creator" access to their Facebook Page.
  • One Dashboard for All Clients: From your own Business Manager, you can see and access every client who has granted you permission. No more logging in and out.
  • It’s Secure and Professional: It shows clients you know what you’re doing and respect their security and asset ownership.

The process will depend on how much your client already has set up. We'll cover the three most common scenarios.

Gaining Access When Your Client Has Everything Set Up

This is the best-case scenario. Your new client already has a Meta Business Manager account that houses their Facebook Page and Ad Account. In this case, your goal is to have them grant "Partner" access to your agency's Business Manager.

Step-by-Step for Your Client: Granting You Partner Access

You can send these instructions directly to your client. First, you'll need to give them your Business Manager ID.

How to Find YOUR Business Manager ID:

  1. Log in to your own Business Manager at https://business.facebook.com/.
  2. Click the "All tools" (hamburger icon) menu and select "Business Settings."
  3. In the left-hand navigation, scroll down and click "Business Info."
  4. Your Business Manager ID will be displayed directly under your business name. Copy this ID and send it to your client.

Now, here are the steps for your client to follow:

  1. Go to Business Settings in their Meta Business Manager.
  2. In the left menu, under "Users," click on Partners.
  3. Click the blue "Add" button and select "Give a partner access to your assets."
  4. They will be prompted to enter your Partner Business ID. This is where they paste the ID you just sent them. Click Next.
  5. On the next screen, they need to assign you the assets you'll be managing. They'll see different asset types (Pages, Ad Accounts, Pixels, etc.).
  6. They should click on Ad Accounts, select the specific ad account by name, and then grant you permission. For running ads, you’ll typically need the "Manage campaigns" toggle turned on. They can also select "Manage ad account" for full control.
  7. Remind them to grant you access to their Facebook Page as well, typically "Create ads" or "Publish content" level permissions. You need this to run ads that appear to come from their page.
  8. After assigning all necessary assets and permissions, they click "Save Changes."

Once they've done this, you will get a notification. You'll need to go into your Business Settings > Requests to see the invitation and approve it. The client’s assets will then appear in your Business Manager.

What to Do if Your Client Has an Ad Account but No Business Manager

This is very common. Many businesses boost posts or run simple ads directly from their personal ad account, attached to their Facebook profile, without ever creating a formal Business Manager.

Your first step is to guide them to create a Business Manager and claim ownership of their existing assets. This is something the client must do themselves, as they are the rightful owner.

Step 1: Your Client Needs to Create a Business Manager Account

Direct them to https://business.facebook.com and click "Create Account." They'll walk through a short setup process where they'll enter their business name and link it to their personal Facebook profile for login purposes (rest assured, no one else sees this connection).

Step 2: The Client Needs to Claim Their Existing Assets

Their new Business Manager is like an empty folder. Now they need to put their files inside it. Guide them to:

  1. Navigate to Business Settings.
  2. Go to Accounts > Ad Accounts. Click the blue "Add" button and select "Add an Ad Account."
  3. They will be asked for the Ad Account ID of their existing account. If they don't know it, you can find it in their Ads Manager URL when logged in to their personal account.
  4. After entering the ID, because they are already an admin of that ad account, it will get pulled into their Business Manager instantly.
  5. Next, repeat this for their Facebook Page. Go to Accounts > Pages, click "Add," and "Add a Page." Start typing the Page name, and it should pop up. As they are the Page owner, it will instantly add it.

Step 3: Follow the Steps from Scenario 1

With their Business Manager created and their key assets securely housed inside, you can now simply proceed with the partner access request as outlined in the first scenario. Just send them your Business ID and the same set of instructions to assign you access.

Setting Everything Up from Scratch for a New Client

If your client is a new business, they may have none of this set up yet. This is a great opportunity to start them off on solid footing. As in Scenario 2, the client creates the foundation, and they grant you access to work on it.

Step 1: Client Creates Their Business Manager

Same first step. The business owner must be the one to create the Business Manager at https://business.facebook.com. This ensures they always maintain ultimate ownership.

Step 2: Client Creates an Ad Account Inside Business Manager

Inside Business Settings > Ad Accounts > "Add," your client should choose the third option: "Create a new ad account." They'll be asked for:

  • Ad Account Name: A simple, clear name like "[Client Business Name] Ad Account."
  • Time Zone: Set this to their business's primary time zone.
  • Currency: Set this to the currency in which they'll be paying for ads and analyzing performance. WARNING: Time zone and currency CANNOT be changed later. Double-check these before clicking create.

Meta will ask if this ad account is used for their own business or for another business (you, as the partner). They should select "My business."

Step 3: Client Adds a Payment Method

This critical step prevents ad spend coming from your own pocket. The client should add their business credit card directly to their newly created ad account in Business Settings > Payments and Add Payment Method. This ensures that their ad charges bill directly to their account.

Step 4: You Request Access

Once the accounts and payment information is decided, they are ready to grant you access. You can follow the steps from the first scenario and send your client the previous instructions.
