How to Do a Collab Post on Meta Business Suite

Cody Schneider8 min read

A collaboration post on Instagram and Facebook is one of the most effective ways to get your content in front of a new, relevant audience. This guide provides a complete, step-by-step walkthrough on how to create and schedule collab posts directly from Meta Business Suite, streamlining your entire influencer and partner marketing workflow.

What Exactly is a Collab Post?

The Instagram Collab feature allows two different accounts to co-author a single piece of content, whether it's a Feed post or a Reel. Instead of one account tagging another, both of your usernames appear in the header of the post. The real power comes from its shared nature:

  • The post appears on both of your profile grids.
  • It’s shared with both sets of followers, instantly doubling its potential reach.
  • All the engagement - likes, comments, and shares - are combined and displayed on the single post, creating powerful social proof.

Think of it as moving from a recommendation (a tag) to a joint announcement (a collaboration). It’s perfect for brand partnerships, influencer campaigns, joint giveaways, or cross-promotions with other businesses in your space.

Why Use Meta Business Suite for Collabs?

While you can create a collab post directly within the Instagram app, using Meta Business Suite offers several powerful advantages, especially for businesses, marketers, and social media managers:

  • Centralized Management: You can create, schedule, and analyze your collaboration from the same place you manage the rest of your Facebook and Instagram content. No more switching between apps.
  • Scheduling in Advance: This is the biggest benefit. You can prepare your collaboration posts ahead of time and schedule them to go live at the perfect moment, ensuring a coordinated launch with your partner. The mobile app only allows you to publish immediately.
  • Desktop Workflow: It’s often much easier to upload high-quality media, write and revise detailed captions, and search for collaborator handles from a desktop computer.
  • Unified Analytics: Meta Business Suite provides a comprehensive look at your post's performance, allowing you to see metrics like reach, engagement, and audience demographics for both Facebook and Instagram in one place.

Before You Start: Critical Permission Settings

Before you even open Meta Business Suite, there’s one small but essential step your collaborator must take. If they haven’t enabled permissions correctly, you won't be able to tag them as a collaborator, or they won't receive the invitation. It's a common stumbling block that can cause unnecessary confusion.

Your collaborator needs to enable non-followers to tag them. Here’s how they can do it in their Instagram app:

  1. Go to their Instagram profile and tap the three-line menu (hamburger icon) in the top-right corner.
  2. Select Settings and privacy.
  3. Scroll down to the "How others can interact with you" section and tap on Tags and mentions.
  4. Under "Who can tag you," make sure Allow tags from everyone is selected.

While some guides might say "Allow tags from people you follow" is sufficient, setting it to "everyone" is the most foolproof method to prevent issues. Additionally, both you and your collaborator must have Professional (Business or Creator) accounts, not Personal accounts. Trying to collaborate with a personal account won't work.

How to Tag a Collaborator in Meta Business Suite: A Step-by-Step Guide

Once the permissions are sorted, you’re ready to create your post. Follow these steps carefully.

Step 1: Navigate to the Content Creator

Log in to your Meta Business Suite at business.facebook.com. On the left-hand navigation menu, click on Content. From there, click the blue Create post button in the top-right corner. This will open the main post creation window, which may look familiar if you've scheduled posts before.

Step 2: Choose Your Placements

At the top of the post creator, under the "Post to" section, you'll see your connected accounts. The collaboration feature is an Instagram-native tool, so you must select the Instagram account you want to post from. You can also select your Facebook Page to have the content post there simultaneously.

Note: The collaboration invite and shared engagement features will only apply to Instagram. On Facebook, it will appear as a normal post from your page.

Step 3: Add Your Media and Craft Your Caption

Now, it's time to build your post. Click the Add photo or Add video button to upload your creative content. You can upload multiple files to create a carousel post. Once your media is uploaded, write your post caption in the text box. This is also where you'll add any relevant hashtags, formatted text, and emojis.

Step 4: Invite the Collaborator

This is the most important step. In the main creation window, your media will generate a preview on the right side. To add a collaborator, follow these instructions:

  1. Make sure you are looking at the Instagram Feed preview.
  2. Below the media, you will see a series of icons. Click the tag icon (it looks like a person's silhouette in a small box).
  3. A new screen will pop up with your image or video. Click anywhere on the photo.
  4. A search box will appear. Here, you have two options: "Tag People" and "Invite Collaborator." Click the Invite collaborator toggle button.
  5. Start typing the Instagram handle of the person or brand you want to collaborate with in the search box. Select the correct account from the list that appears.
  6. Once selected, their username will appear on the image. Click the blue Save button.

You have now successfully tagged them as a collaborator. Their username will appear next to yours in the post preview in Business Suite, though this preview may not always perfectly reflect the final look.

Step 5: Publish or Schedule Your Post

With your collaborator tagged, review the rest of your post details. You can add a location, set up A/B testing, or add a message button if desired. Once everything looks good, you have two options at the bottom-right:

  • Publish now: The post will go live on your Instagram profile immediately, and the collaboration request will be sent to your partner.
  • Schedule: Click the dropdown arrow and select this to choose a future date and time for the post to go live. This automatically sends the collab request at the scheduled time. This is the ideal option for planned campaigns.

What Happens for Your Collaborator?

Your work is done for now, but your collaborator has one final, simple task.

The moment your post goes live (either immediately or at the scheduled time), your partner will receive a notification in their Instagram activity feed and a request in their Direct Messages. The request will say "[Your Username] invited you to be a collaborator on their post."

They need to tap on this request and click the blue Review button, then tap Accept. As soon as they accept, two things happen:

  1. The post instantly appears on their own profile grid.
  2. The post starts getting distributed to their followers' feeds.

Until they accept, the post will only be visible on your profile and to your followers, and your partner's name will not be shown as a co-author.

Troubleshooting Common Issues

Sometimes things don't go as planned. Here are solutions to the most frequent problems.

"I can't find the user when searching for a collaborator."

This is almost always due to one of three things: a typo in the username, the collaborator's account being set to Private, or their account being a Personal account instead of a Professional (Creator/Business) account. Double-check all three with your partner.

"The Invite Collaborator button is greyed out."

You can only invite one collaborator per post. If you've already tagged someone normally, you might need to remove that tag first before you can invite a collaborator.

"My partner never received the invitation."

There are usually two culprits here. First, ask them to double-check their permissions using the instructions in the "Before You Start" section. Second, have them check their message requests folder in their DMs, as the invite can sometimes land there.

Final Thoughts

Co-authoring posts through Meta Business Suite is a game-changer for managing your brand partnerships efficiently. It allows you to plan your collaborations in your content calendar, prepare high-quality creatives on a desktop, and ensure a synchronized launch with your partners, all while tapping into the expanded reach that the collab feature offers.

Of course, launching the collaboration is just the first step, understanding its true impact is what matters most. With so many campaigns running, it can get tricky to see which partnerships are just driving vanity metrics and which ones are actually contributing to traffic, leads, or sales. This is why we built Graphed to help. We connect all your marketing data - from Instagram and Facebook Ads to Google Analytics and your e-commerce platform - into one place, letting you ask simple questions in plain English to see your full-funnel performance and properly measure the ROI of your influencer marketing efforts.
