First, What Happens When You Delete a Power BI Workspace?

Before you even think about hitting the delete button, it's critical to understand the consequences. Deleting a Power BI workspace is irreversible. There is no "undo" button and no recycle bin to recover your files from. Once it's gone, it's gone for good.

Here’s exactly what gets erased:

  • All Content: Every report, dashboard, dataset, and dataflow within the workspace will be permanently deleted.
  • Associated Microsoft 365 Group: Newer Power BI workspaces are automatically tied to a Microsoft 365 group. This group includes a shared inbox, calendar, and a SharePoint document library. When you delete the workspace, you also delete the entire Microsoft 365 group and all its associated resources. This is a crucial point many people overlook. If your team uses that SharePoint site or shared mailbox, deleting the workspace will cause significant disruption.
  • Published Apps: Any app published from the workspace will be removed, and users who rely on that app will lose access immediately.

Given the permanent nature of this action, the most important step in this process isn't the deletion itself, but the preparation that comes before it.

Essential Step: How to Back Up Your Workspace Content

Treat this step as mandatory insurance for your data. Before deleting anything, you must back up any content you might need in the future. Because you can’t back up the entire workspace with a single click, you’ll need to save each asset type individually.

1. Back Up Your Reports and Datasets (.PBIX files)

The original Power BI Desktop file, with the .pbix extension, is the most valuable asset you have. It contains your data model, DAX calculations, Power Query transformations, and report layouts. Saving this file is the best way to back up your work.

Here’s how to do it:

  1. Navigate to the workspace you plan to delete.
  2. Go to the Content list and find the report you want to save.
  3. Click on the report to open it.
  4. From the top menu, select File > Download this file.
  5. A pop-up will appear. Choose to download a copy of the report including your data (the .PBIX format). Click Download.

Important Note: This option is only available for reports originally created in Power BI Desktop and published to the service. If the report was created directly in the Power BI service, you may not be able to download a full-featured .PBIX file. This is why always keeping a local copy of your original .PBIX files is a best practice.

2. Back Up Your Dataflows

Dataflows, which contain Power Query transformations to prepare your data, can also be backed up. They can be exported as a JSON file, which you can later import into a new workspace.

  • From your workspace, find the dataflow you want to save.
  • Click the three dots (...) next to the dataflow name and select Settings.
  • At the top of the settings pane, you will see an Export .json button. Click it to download the dataflow’s definition file.

3. "Back Up" Your Dashboards

Unfortunately, you cannot directly download a dashboard as a package. Dashboards are essentially canvases with pinned visuals from one or more reports. The best way to "back up" a dashboard is to ensure you have the .PBIX files of all the underlying reports that feed it. If you need to restore the dashboard later, you would republish those .PBIX files and manually re-pin the visuals to a new dashboard.

For documentation purposes, you can also:

  • Go in Print View: Open the dashboard and go to File > Print this page. Save it as a PDF for a visual reference.
  • Take Screenshots: Capture images of the dashboard to remember the layout.

These methods won't give you a functional backup, but they provide a blueprint for rebuilding the dashboard later.

How to Delete a Workspace in Power BI: A Step-by-Step Guide

Once you’ve backed up all your important content and have confirmed with your team that the workspace (and its associated Microsoft 365 group) are no longer needed, you can proceed with the deletion. Remember, you must be a workspace Admin to perform this action.

Step 1: Navigate to Your Workspace

Open the Power BI service in your browser (app.powerbi.com). In the left-hand navigation pane, find and click on the Workspaces icon. A fly-out menu will appear listing all the workspaces you have access to. Select the one you wish to delete.

Step 2: Access the Workspace Settings

Once you are inside the workspace, click the three-dot menu (...) located next to the workspace name at the top of the content list. From the dropdown menu that appears, select Workspace settings.

Step 3: Initiate the Deletion

The Workspace settings pane will open on the right side of your screen. This area lets you change the name, description, and other properties. Scroll all the way to the bottom, and you will find the Delete workspace option with a delete button. Click it.

Step 4: Confirm Permanent Deletion

This is your final chance to turn back. Power BI will display a prominent warning dialog box titled "Are you sure you want to delete this workspace?"

The message will explicitly warn you a second time that:

  • This action is permanent and cannot be undone.
  • All reports, dashboards, and datasets will be deleted.
  • The connected Microsoft 365 group and all its content (files, emails, etc.) will also be deleted.

To proceed, you must check the box confirming you are aware of these consequences and then type the name of the workspace into the text box. This ensures you are not deleting a workspace by mistake. After typing the name, the Delete button will become active. Click it to permanently delete the workspace.

Troubleshooting: What if You Can’t Delete the Workspace?

Sometimes you might run into issues where the delete option is unavailable or doesn't work. Here are a few common culprits and how to resolve them.

You Don't Have Admin Permissions

The most common reason for not being able to delete a workspace is that you do not have the Admin role. Only Admins can modify or delete workspaces. To check your role, go to the workspace and click the three-dot menu (...), then select Workspace access. If your role is listed as Member, Contributor, or Viewer, you won’t be able to delete it.

Solution: Contact a user with the Admin role for that workspace or your organization's Power BI Administrator and request that they either delete the workspace or promote you to an Admin.

An App Is Published From the Workspace

If you have an organizational app published from the workspace, Power BI may prevent you from deleting it until the app is unpublished. An active app could be in use by many people, so this is a safety measure.

Solution:

  1. In your workspace, look for a button in the upper-right corner that says Update app. Click it.
  2. In the app setup screen, you will find an Unpublish app button. Click it and confirm.
  3. Once the app is unpublished, you can go back to the workspace settings and try deleting the workspace again.

An Alternative: How to Leave a Workspace Without Deleting It

If you don’t want a workspace cluttering your list anymore, but other team members still need it, you don't need to delete it. You can simply leave the workspace.

Leaving a workspace removes your access but keeps it fully intact for everyone else. This is the perfect option if a project has ended for you but not for your colleagues.

To leave a workspace:

  1. Find the workspace on your list.
  2. Click the three-dot menu (...) next to the workspace name.
  3. Select Leave workspace from the menu.
  4. Confirm your choice in the pop-up dialog.

If you are the sole admin, Power BI might require you to assign another admin before you are allowed to leave, ensuring the workspace doesn't become orphaned and unmanageable.
