How to Create a Meta Business Portfolio
Setting up your Meta Business Portfolio is the essential first step to professionally managing your Facebook and Instagram marketing assets. No longer called Business Manager, this central hub gives you secure control over your Pages, Ad Accounts, and Pixels. This guide provides a straightforward, step-by-step walkthrough for creating your portfolio and organizing all your business assets within it.
What Exactly Is a Meta Business Portfolio?
Think of the Meta Business Portfolio as the command center for your business on Facebook and Instagram. It's a tool designed to help you organize and manage all your marketing assets and grant access to team members, partners, and agencies without giving away personal account details. Before Business Portfolio, business owners often managed their Facebook Page directly from their personal profile, which created messy and insecure situations when they needed to give access to an employee or a marketing agency.
The Business Portfolio solves these problems by creating a distinct, professional space for your business that separates it completely from your personal Facebook profile.
Why Do You Need One?
If you're still managing your company’s Facebook Page or Ad Account from your personal account, it's time to make the switch. Here are the most compelling reasons to set up a Business Portfolio today:
- Centralized Management: Keep all your assets - including Facebook Pages, Instagram accounts, Ad Accounts, Pixels, and Product Catalogs - in one organized and secure place.
- Clear Ownership: The business, not an individual’s personal profile, owns the pages and ad accounts. This prevents disastrous situations where an ex-employee who created the Page leaves the company and takes ownership with them.
- Enhanced Security: You can grant specific roles and permissions to team members and partners without handing over your personal login information or making them an "Admin" of your page with full control. You can also require two-factor authentication for added security.
- Better Collaboration: Easily and securely give access to a marketing agency, a new social media manager, or a freelance ad specialist. You control exactly what they can access and can revoke permissions just as easily.
Before You Start: A Quick Checklist
The creation process is much smoother if you have a few things ready. Before you proceed, make sure you have the following:
- A Personal Facebook Profile: You'll need a personal Facebook account to create a Business Portfolio and verify your identity. Don't worry, your colleagues and partners won't see your personal profile information.
- Primary Facebook Page and Ad Account: You should be an admin of the main Page and Ad Account you want to add to the new portfolio.
- Your Professional Email Address: Use the email address associated with your business (e.g., yourname@yourcompany.com). A generic Gmail or Yahoo address works, but a professional address looks better and is more secure.
- A list of assets and people: Jot down the names of any other Pages, Instagram accounts, or Ad Accounts you'll need to add. Also, have the work email addresses of any team members or agency partners you plan to invite.
How to Create a Meta Business Portfolio: Step-by-Step
Creating the initial portfolio shell only takes a few minutes. Follow these simple steps to get started.
Step 1: Go to the Meta Business Site
Open your web browser and navigate to https://business.facebook.com/overview. You’ll see a landing page explaining the benefits of the platform.
Step 2: Create Your Account
In the top right corner, click the blue "Create an account" button. If you're not already logged into Facebook in that browser, you'll be prompted to do so first. Remember, this links your personal profile as the creator of the portfolio, but it doesn't share your personal data within the business account.
Step 3: Enter Your Business Information
A pop-up window will appear asking for some basic details:
- Business portfolio name: Enter your official business name. Keep it clear and simple, especially if you might manage multiple businesses in the future. We recommend just using "Your Company Name."
- Your name: Your first and last name should automatically populate from your Facebook profile.
- Your business email: Enter your work email address here. Meta will use this to send notifications and confirmation requests.
Once you’ve filled this out, click "Submit."
Step 4: Confirm Your Email Address
Head over to your inbox. You should find an email from Meta with the subject line "Confirm your work email." Open it and click the "Confirm Now" button. This verifies your identity and officially activates your Business Portfolio. That's it! Your Business Portfolio is now live, although it's currently an empty shell. The next step is to populate it with your assets.
Adding Your Business Assets and People
With your portfolio created, it’s time to claim ownership of your Pages, Ad Accounts, and other assets. Log in to your Business Portfolio and navigate to the Business Settings. This area can be found by clicking the gear icon ⚙️ on the bottom-left sidebar.
This is where you'll manage everything. On the left side, you'll see categories like "People," "Partners," and "Accounts."
Pages, Ad Accounts, and other Assets
For most assets, you have three options:
- Add an Asset (Claiming): This means you are permanently moving the asset into your Business Portfolio. Choose this if your business is the rightful owner of the asset (e.g., your company's official Facebook Page). Once an asset is claimed, it can't be removed, only transferred to another Business Portfolio.
- Request Access to an Asset: This is for agencies, freelancers, or a partner company. Your portfolio is requesting permission to work on an asset that is owned by another business. The owner must approve your request.
- Create a New Asset: This option allows you to create a brand new Facebook Page, Ad Account, or Pixel directly within the Business Portfolio. It will be owned by the portfolio from the start.
How to Add a Facebook Page
- In Business Settings, go to Accounts > Pages.
- Click the blue "Add" dropdown button and select "Add a Page."
- Start typing the name or URL of your Facebook Page. Once it appears, select it and click "Add Page."
- If you are already an admin of that Page, the request will be approved automatically.
How to Add an Ad Account
- Go to Accounts > Ad Accounts.
- Click the "Add" button and choose to either "Add an Ad Account", "Request Access," or "Create a New Ad Account."
- To claim an existing ad account, you'll need the Ad Account ID, which is a string of numbers found in your Ads Manager.
How to Connect an Instagram Account
- Go to Accounts > Instagram Accounts and click "Add."
- A button labeled "Connect Your Instagram Account" will appear. Click it.
- You'll be prompted to log in to the Instagram account. Make sure it has been converted to a Professional or Business account first.
You can follow a similar process to add your WhatsApp accounts, data sources (like Pixels and Catalogs), and verify your business domain under the Brand Safety section.
Managing People and Partners
One of the core functions of the Business Portfolio is assigning permissions securely.
Adding Team Members
- Go to People and click "Add people."
- Enter the work email addresses of the team members you wish to invite. For security, never use personal emails.
- On the next screen, you assign them their Role. You can give them Employee access (standard) or Admin access (full control). Always grant the minimum level of access they need to do their job.
- After assigning a role, you can choose exactly which Pages, Ad Accounts, or other assets they can access and what their permissions per asset are (e.g., can they publish content on the page? Can they create campaigns in the ad account?).
They will receive an email invitation to join the Business Portfolio.
Working with Agencies or Freelancers (Partners)
To give an agency access, do not add their representatives as "People." Use the "Partners" feature instead. This allows the agency to connect their own Business Portfolio to your assets, giving them the access they need without you having to manage their individual staff members.
- Go to Partners and click "Add."
- Select "Give a partner access to your assets."
- You'll need to ask the agency for their Business ID. They can find this under their own Business Portfolio's Business Info.
- Enter their Business ID, and then you'll reach a permissions screen nearly identical to the one for adding people. Assign them access to the specific assets they'll be managing and set their permission levels.
Best Practices for a Secure and Organized Portfolio
- Enable Two-Factor Authentication (2FA) for All Users: In Business Settings > Security Center, you can set 2FA as a requirement for everyone in your portfolio. This adds a critical layer of security to prevent unauthorized access.
- Have More Than One Admin: Never operate with a single admin. Designate at least one other trusted person in your organization as an admin. This is a crucial backup in case you lose access to your own account.
- Review Permissions Regularly: Conduct a quarterly audit of who has access to your assets. Remove any ex-employees or agencies you no longer work with to keep your account secure.
- Use Projects to Stay Organized: If you are an agency or have multiple distinct campaigns, you can use the "Projects" feature to group assets (like a page, ad account, and pixel for a specific client) together, making it easier to assign permissions for that grouping.
Final Thoughts
Setting up your Meta Business Portfolio transitions your marketing efforts from a collection of personal accounts to a secure, professional, and centrally managed operation. Taking the time to properly configure it provides long-term security, clarifies ownership, and makes collaborating with your team and external partners simple and professional.
Once your business assets are organized in one place, the next step is making sense of all the data they produce. That's why we created Graphed, to connect all your data sources and allow you to build real-time dashboards and reports simply by asking questions in plain English - no spreadsheets or BI-tool expertise required.
